How to prepare and label your suitcase for shipping
Each suitcase must carry its own shipping label, which you download from your e-voucher with the “Download my labels” button. The PDF voucher you receive by email is not the label: do not stick it on your suitcase.
Which sheet goes on the suitcase?
With your booking you receive two different documents, and only one of them goes on the suitcase.
The booking voucher: do not stick it on
This is the PDF you receive by email, with the QR code and the order number. It identifies your booking: keep it, but do not stick it on your luggage.
The shipping label: stick it on
You download it from your e-voucher with the “Download my labels” button once your booking has been validated. There is one per item: print them and stick each one on its suitcase.
Where to download the labels
Open your e-voucher from the link in our emails or by scanning the QR code on the voucher, and tap “Download my labels”. If they are not ready yet, try again a little later. If you don’t have a printer, ask reception to print them for you.

Download and print the labels
From your e-voucher, with the “Download my labels” button. They are available as soon as we validate your booking.

Remove old labels
Labels from flights or other shipments confuse the sorting machines.

Stick one label on each suitcase
On a flat side where it can be seen easily, not over handles or zips. If you want to protect it, use clear adhesive tape or a clear plastic sleeve.

Put a note inside
With your name, phone number and booking number, in case the label comes off.

Lock it securely
With a combination or key padlock, a security cable tie or another system that cannot be opened without breaking or tampering with it. It can also be wrapped in plastic film, as at airports.

Take a photo and send it to us
Once the labels are on, take a photo showing all the suitcases with their labels and send it to reservas@transotel.com with your booking number. If a suitcase goes missing, the photo will make it much easier to find.
Where to leave your suitcase for collection
At a hotel
When you are due to check out, drop off your luggage at reception or in the luggage room the night before, so that Transotel can collect it without any problems.
Let reception know that an external company will be collecting your luggage. Make sure it is passed on at every shift change, so that all the staff are informed.
At home
Someone must be at the collection address for the whole time slot you have chosen, to hand the luggage over to the driver.
Because of traffic or parking problems, the driver may not come up to your door at the collection address, so collection at the door is not guaranteed.
What to check before you close it

Your luggage must be the same size and weight as you booked, or smaller. If it is not, the transport company may leave it at the origin, or return it there if it measures it at its hub, and the amount paid will not be refunded.

Do not pack valuables or fragile items: the transport company does not accept liability for them. Dangerous goods (flammable products, loose batteries or power banks) and perishable food are not allowed either.

Keep the essentials with you (documents, medicines, keys, chargers and whatever you need for the first night), as well as personal, valuable and fragile items, which the transport company does not cover.
Frequently asked questions
Can I stick the booking voucher on my suitcase?
No. The voucher identifies your booking, but the transport company needs its shipping label, with its barcode, to collect and deliver the suitcase. You download the label from your e-voucher with the “Download my labels” button.
When can I download the labels?
As soon as we validate your booking. We let you know by email; if the labels are not ready yet when you tap the button, try again a little later.
How many labels do I need?
One per item. Each suitcase carries its own: do not put the same label on two suitcases.
I don’t have a printer. What can I do?
Ask reception to print them for you, or print them at a copy shop.
What if the label comes off?
That is why we ask you to put a note inside the suitcase with your name, phone number and booking number, and to send us a photo of your suitcases with the labels on.
Do I have to lock my suitcase?
Yes. Each suitcase must be closed with a padlock, a security cable tie or another equivalent system, or wrapped in plastic film.
